Streamlining Supplier Qualification with AI

Streamlining Supplier Qualification with AI

BEYOND ESSENTIALS

  • Core insight: Answerthink's EzSupplier uses SAP Business AI to extract and check supplier certificates automatically, replacing an email-based qualification process.
  • Consequence: Requalification triggers fire automatically on schedule, cutting supplier onboarding from an open-ended manual process to a few weeks, and audit status is visible in real time.
  • Mid-market angle: For a mid-market manufacturer sourcing across multiple geographies, that means no more scrambling to collect paperwork before an audit, and no development project needed when a regulation or new market comes into scope.

This blog is based on one of the use cases from the UNITED VARS Insight Brief ‘AI Across Borders: What Works, What Fails, and Why’.

“Low-code means the business isn't waiting on a developer every time a regulation changes or a new geography comes in scope. A business analyst can extend the questionnaire and make it live. That's the real value: the ability to adapt without a backlog of change requests every time.” – Mukesh Bablani, Associate Principal, Answerthink

A Common AI Use Case for Manufacturing Companies

Supplier qualification is one of the most common first AI use cases for mid-market manufacturing companies because the problem is universal and the process is repeatable.

If your company outsources manufacturing or sources raw materials from third parties, you already know the process: qualify the supplier, collect their certifications, get sign-off from quality, create the vendor in SAP. Then do it all again in a few years across every geography you operate in.

Although most mid-market organizations run this process by email, initial vendor onboarding is usually thorough. The problem is what happens after.

Once a supplier is in the system and delivering, requalification tends to slip, because there’s no automatic trigger to flag this. During an internal or regulatory audit, organizations waste time collecting information that should already be on file. Worse, they risk failing the audit.

Email-based processes also make it easy for submissions to get lost or delayed in the review chain. There’s no audit trail or visibility into where a certificate is stored, and no warning when one is due to expire.

Answerthink’s EzSupplier

UNITED VARS member, Answerthink, has built a supplier qualification portal to solve this issue. EzSupplierTM uses SAP Build low-code, SAP Build Process Automation, and SAP Business AI.

Suppliers upload their information and certifications directly into the system, and then:

  • SAP Business AI reads uploaded certificates, extracts the relevant information, and runs pre-defined compliance checks before anything reaches the quality team

  • Structured approval workflows replace email chains, with a full audit trail for every submission and decision

  • Requalification triggers fire automatically on two- or three-year schedules, based on supplier type and local regulatory requirements

  • Business analysts update or extend questionnaires in the low-code environment without developer involvement, so a regulatory change or new geography doesn’t require a development project

Based on Answerthink’s client deployments, supplier onboarding moves from an open-ended manual process to a few weeks. Audit failures reduce measurably, and compliance status is visible in real-time rather than only when an audit happens.

Scaling AI Globally

“Set the foundation in place and let the toolset assist you. Your business will start to see the benefit quickly. Instead of doing the heavy lifting, the toolset is doing a good part of that for you. Then you build from there. It's key to ensure the process is defined before the AI is configured.” – Mukesh Bablani, Associate Principal, Answerthink

When mid-sized organizations are rolling out EzSupplierTM, or other AI solutions, across countries, UNITED VARS members in each country can adapt to local requirements.

Regulatory requirements and questionnaire content will differ across markets, even within harmonized frameworks. The SAP architecture is designed for this: a global template with extension points that local teams configure.
